The user portal is a powerful add-on module from formcycle that makes it possible to provide forms and processes centrally via a web-based portal - clearly laid out, secure and customisable.
Whether citizen services, administrative applications, internal processes or business applications: The portal provides users with a central point of access, allows them to view all relevant processes, including processing status, and communicate directly with clerks - without any media discontinuity.
Features
Messages / Chat
A real highlight of the user portal is the integrated messaging function. Administrators can communicate directly with the respective user for each process - for example, to ask questions or request missing documents.
New messages are immediately displayed to the user in the portal. If desired, a notification can also be sent by e-mail. Replies and the upload of requested documents are carried out easily and securely directly via the portal.
Process overview
Every submitted application is presented clearly and in a structured manner in the user portal.
Users can see the current processing status at a glance:
- a complete history of all processing steps,
- and all messages and documents assigned to the process.
This allows applicants to keep track of the status of their digital processes at all times - transparently and comprehensibly.
Customisable
Depending on the licence, several independent user portals can be operated - each with its own URL, multilingual, individual design and target group-specific content.
The appearance can be flexibly adapted to your corporate design:
- with your own logos,
- individual colour design using CSS
- and the integration of suitable texts and images.
Forms in the portal can be provided with preview images, comprehensible descriptions and other additional information. Multilingual provision is also possible without any problems - ideal for internationally operating organisations.
Authentication
Login to a user portal is fully configurable and can utilise the service providers already configured. It doesn't matter whether you rely on Microsoft Entra ID for internal applications or use established standards such as SAML 2.0, OAuth, LDAP or OpenID Connect - the user portal supports a wide range of authentication methods and ensures maximum flexibility.
Workflow
With the activation of the portal functionality, extended workflow actions are available to specifically control digital processes and react to user actions.
The following functions, among others, are possible:
- Provision of individual process actions in the user portal
- Reactions to incoming messages or uploaded files
- Sending messages through the workflow
- Export of complete communication histories as PDF
In this way, even complex requirements can be automated end-to-end - just like formcycle.
Security
All communication within the portal is secure and encrypted - directly on the formcycle server. Messages and documents do not leave the system and are not sent via external services. The registered user has direct access to the protected content, which means that the highest data protection standards are adhered to.
